Protocol for District Governor’s Official Visit

To assist Clubs in observing proper protocol, the following guidelines are being provided.

1.  Delegate a member, or members, to meet the District Governor when he arrives and see that he is properly entertained until dinnertime.

2.  Be sure that the place of honor, next to the President, on the right, at the head table, is reserved for him. His spouse is seated next to him, then the Zone Chair, if accompanying, should be seated next. The District Governor, spouse and Zone Chair should be treated as honored guests when collecting for the meal.

3.  Advise your Program Chair in advance of the Governor’s visit to avoid a conflicting program. The District Governor is the program. Minimum amount of business should take place.

4.  The accepted form of introduction is for the Club President to introduce the Zone Chair, who will, in turn, introduce the District Governor.

5.  Advise the Tailtwister that no guests should be fined.

6.  Remind members, at meetings preceding his visit, that his office demands respect; that they should rise and applaud when introduced; and further, that any member addressing him should stand when doing so.

7.  Remember that he would like to meet with your entire Board of Directors. Try to have 100% representation.

8.  Do not hesitate to discuss Club problems with your District Governor, it is his job to help solve problems, give new ideas to Clubs that have run out of ideas. Maybe your Club has ideas that will help others. Make this meeting with your District Governor a real “down to earth get-together.”
